Volunteer Coordinator

Position: Volunteer Coordinator
Terms of Employment: Full-time, Permanent
Salary range: $54,000 – $56,763 per year
Location: Calgary
Job Purpose
The Volunteer Coordinator supports the effective delivery of the Volunteer program by coordinating volunteer recruitment, onboarding, engagement, training, and retention activities. Working collaboratively with managers and service areas, the Coordinator identifies volunteer needs, develops volunteer opportunities, maintains volunteer records and reporting systems, and provides ongoing support to volunteers and staff to ensure a positive volunteer experience and support organizational objectives.
Key Responsibilities:
1. Develop, maintain, and oversee a robust volunteer program that supports the organization’s mission and objectives.
2. Manage and maintain expertise in all functions of the Better Impact volunteer database, and train users to ensure accurate data management and efficient volunteer coordination.
3. Responsible for collecting, tracking, and entering monthly volunteer statistics into the Better Impact database; ensuring FCSS surveys are completed and accurately entered into the FSII database; and producing accurate, timely reports, including year-end reporting requirements.
4. Manage funder reporting requirements by compiling and analyzing data collecting volunteer testimonials.
5. Responsible for volunteer recruitment and onboarding. This includes:
a. Providing information and initial screening
b. Interviewing
c. Placing in positions
d. Orienting volunteers to Kerby Centre using the Volunteer Handbook
e. Police checks, references and filing
6. Responsible for notifying Department supervisors to conduct volunteer check-ins for all new volunteers, ensuring follow-up discussions occur, addressing any concerns identified, documenting outcomes, and tracking completion of required actions.
7. Attend volunteer workshops, booths and information sessions.
8. Responsible for coordinating and organizing the Volunteer of the Month.
9. Responsible for collaborating with service areas to identify volunteer needs and recruiting volunteers by advertising available opportunities internally and externally.
10. Collaborate with managers to identify meaningful volunteer opportunities that support service delivery objectives and develop clear, accurate volunteer position descriptions for recruitment and program planning purposes.
11. Plan and implement formal and informal volunteer recognition activities.
12. Responsible for addressing volunteer concerns, keeping the Manager informed, and working collaboratively to ensure volunteers are placed in roles that best align with their skills, interests, and organizational needs.
13. Participate in internal Unison at Kerby Centre committees as assigned by the Manager or as organizational needs require.
Qualifications
Education and Experience
• Post-secondary education in Human Services, Social Work, Nonprofit Management, Business Administration, Human Resources, or a related field.
• Minimum of 2 years’ experience in volunteer coordination, program administration, community engagement, or a related role.
• Experience working in a nonprofit, community-based, or social services environment.
• Experience with database management, record keeping, and statistical reporting.
Knowledge and Skills
• Knowledge of volunteer management practices, including recruitment, onboarding, engagement, retention, and recognition.
• Understanding of confidentiality, privacy requirements, and ethical practices related to volunteer and client information.
• Strong interpersonal, communication, and relationship-building skills with the ability to work effectively with volunteers, staff, and community partners.
• Demonstrated organizational, administrative, and time management skills, with the ability to manage competing priorities and meet deadlines.
• Strong analytical and problem-solving skills, including the ability to maintain accurate records and prepare reports.
• Ability to exercise sound judgment, discretion, and professionalism when handling sensitive situations and information.
• Proficiency in Microsoft Office applications and database management systems; experience with Better Impact and FSII is considered an asset.
• Ability to work independently and collaboratively in a team environment.
Additional Requirements
• Working hours: Monday to Friday 8:00am – 4:00pm with 1 hour unpaid lunch. Ability to work occasional evenings and weekends as required.
• Successful completion of a Police Information Check and Vulnerable Sector Check, if required.

Physical requirement
Ability to periodically lift, carry, and transport supplies, displays, and equipment throughout the building in support of programs and special events.
